About You  

You’re organized and have experience keeping hospital operations on track. You’ll support daily workflows, manage inventory and equipment, assist with technician training, manage OSHA/RSO safety compliance, and complete daily charge-capture audits to ensure accurate billing. In addition, you’ll be the head of the paraprofessional staff supervisory department. The office manager will partner with the Hospital Administrator to ensure the hospital has continuous management on-call coverage outside of regular business hours and ensure team members and the hospital are supported.

Qualifications: 

  • Veterinary experience required.
  • Experience in inventory management.
  • Knowledge of veterinary medications, supplies, and equipment.
  • Strong analytical skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency with inventory systems and Microsoft Office (Vetspire preferred).
  • Ability to work independently and prioritize tasks.
  • Flexibility to adapt to changing priorities and deadlines.
  • Commitment to providing exceptional care for animals and supporting the mission of our company.

About The Hospital

Elgin Veterinary Hospital is a Bovine and Equine emergency referral and primary care facility that offers the best medical and surgical treatments. 

 

You’re Willing and Able To

Duties and Responsibilities: 

  • Complete daily charge-capture audits for appointments and hospitalized patients by reviewing treatment sheets and medical records.
  • Support front office with payment collection processes and adherence to hospital financial policies.
  • Manage the A/R billing cycle, including client statements/invoicing cadence and follow-up per Thrive collections policy.
  • Build and maintain Vetspire packages and pricing/markups to support accurate, consistent charging.
  • Train and coach team members on documentation, workflow, and charge capture; partner with the team to understand inventory needs and communicate inventory status and upcoming orders.
  • Reconcile payments and balances between the PMS and financial systems; track exceptions and resolve discrepancies.
  • Monitor cost of goods/services and identify opportunities to improve margins and reduce waste.
  • Receive and verify shipments; resolve discrepancies; review and approve vendor invoices.
  • Maintain accurate inventory records for supplies, medications (including controlled substances), and equipment in accordance with Thrive policies.
  • Manage par levels and place timely orders to prevent stockouts and support patient care.
  • Complete regular inventory counts/audits (monthly/quarterly as needed) and report usage trends and variances.
  • Source vendors, negotiate pricing, and track orders/deliveries to ensure best value and on-time supply. Stay informed about industry trends and best practices.
  • Ensure regulatory and safety compliance for medications and controlled substances (DEA/OSHA/Thrive policies) and serve as the hospital OSHA & Radiation Safety Officer (RSO).
  • Oversee training for all new and current team members.
  • Coordinate the schedule for all departments, including managing time off requests and holiday coverage.
  • Plan and budget for support staff growth with the Hosptial Administrator
  • Review applicants, conduct interviews, prepare job offers with the Hospital Administrator
  • Progressive discipline in accordance with Thrive’s current policies and procedures to ensure accountability.
  • Weekly review timecards, time corrections for team member’s punch cards, and management of excessive overtime for all team members.
  • Regular 1:1s with all team members to address needs, concerns, progress updates, training needs, and more.
